This Privacy Policy explains how Healthcare Revenue Group, LLC ("Healthcare Revenue Group," "HRG," "we," "us," or "our"), collects, uses, shares, and protects personal information through our website at www.healthcarerevenuegroup.com (the "Site"), our online forms and downloadable resources, and our email and text message communications. By using the Site or submitting information to us, you acknowledge that you have read this policy. Your use of the Site is also governed by our Terms of Use.
1. Scope of this policy
This policy covers information we collect about visitors to the Site, people who download our resources or contact us, and business contacts we communicate with about our services.
Information we handle for our clients is not covered by this policy. When we provide billing, revenue cycle, credentialing, contracting, or related services to a healthcare organization, we may receive information on that organization's behalf, including protected health information as defined by the Health Insurance Portability and Accountability Act of 1996 and its regulations ("HIPAA"). That information is governed by our written agreement with the client, including any business associate agreement, and by applicable law. It is not governed by this policy. Questions about a patient's information should be directed to the healthcare provider that holds the record.
Please do not submit patient information through the Site. Our website forms, downloadable worksheets, and email and text message channels are not intended for protected health information or any patient-identifying details. Do not enter patient names, dates of birth, account numbers, or other patient identifiers into our forms or send them to us through these channels.
2. Information we collect
Information you give us
- Contact and professional details you enter in a form, such as your first and last name, work email address, organization or practice name, and role.
- Mobile phone number, if you choose to provide it, and a record of any text message consent you give, including the date and time, the page where you gave it, and the consent wording shown to you.
- Communication preferences, such as whether you opted in to receive email or text messages from us.
- Anything you send us directly, such as the contents of an email, a scheduled meeting request, or information you share during a call.
Information collected automatically
When you visit the Site, we and our service providers automatically collect certain information using cookies, pixels, tags, and similar technologies. This may include your IP address, browser and device type, operating system, referring website, the pages you view, the links you click, the date and time of your visit, approximate location derived from your IP address, and whether you opened or clicked a link in one of our emails. See Section 5 for more about cookies.
Information from other sources
We may obtain business contact information, such as a person's name, job title, employer, work email address, and work phone number, from commercially available business databases and from publicly available sources. We use this information to identify healthcare organizations that may be interested in our services and to contact people in their professional capacity.
Categories of personal information. In the past 12 months we have collected the following categories of personal information: identifiers and contact details (such as name, email address, phone number, and IP address), professional information (such as employer and job title), internet and electronic activity (such as pages viewed and email interactions), approximate location derived from IP address, and records of your communication preferences and consents. We do not intentionally collect sensitive personal information, such as health information, government identification numbers, or financial account numbers, through the Site.
Accuracy. Please give us only information that is accurate and that you have the right to share. If you give us someone else's contact information, you confirm that you have their permission to do so.
3. How we use information
We use personal information to:
- provide the resources you request, respond to your inquiries, and schedule and hold meetings
- send you email or text messages you have agreed to receive, and send business communications about our services where the law permits
- understand how the Site and our communications are used, and improve them
- measure the performance of our advertising
- maintain records of your communication preferences and consents, including opt-outs, so that we can honor them
- protect the security and integrity of the Site and our systems, and detect and prevent fraud or misuse
- comply with legal obligations, enforce our agreements, and establish, exercise, or defend legal claims.
4. How we share information
We do not sell your personal information in exchange for money. We share personal information only as described below.
- Service providers. We share information with companies that perform services for us, such as website hosting, customer relationship management, email and text message delivery, scheduling, analytics, and advertising measurement. These providers may use the information only to perform services for us.
- Our team. Information may be shared within Healthcare Revenue Group with the people who need it to respond to you or to evaluate a potential business relationship.
- Legal and safety reasons. We may disclose information if we believe in good faith that it is required by law, subpoena, or other legal process, or that it is necessary to protect the rights, property, or safety of Healthcare Revenue Group, our clients, or others.
- Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of all or part of our business, information may be transferred as part of that transaction, subject to this policy or a policy that is at least as protective.
- With your consent. We may share information for other purposes when you direct us to or agree to it.
Mobile phone numbers and text message consent are subject to the additional restrictions in Section 7.
5. Cookies, analytics, and advertising
The Site uses cookies and similar technologies, including tools provided by HubSpot, Google Analytics, Google Tag Manager, and Google Ads. These tools help us operate forms, understand how visitors use the Site, remember visitors who return, and measure whether our advertising leads to visits or form submissions. Google Ads tools may be used to show our ads to people who have visited the Site. Some state privacy laws may treat this type of advertising as "sharing" of personal information or "targeted advertising." You can limit it using the choices below.
Your choices:
- Most browsers let you block or delete cookies through their settings. Blocking cookies may affect how some parts of the Site work, including forms.
- You can control how Google uses information for ads at adssettings.google.com and learn how Google uses information from sites that use its services at policies.google.com/technologies/partner-sites.
- You can prevent Google Analytics from using your information by installing the Google Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout.
The Site does not currently respond to browser "Do Not Track" signals. Where applicable law requires us to treat a browser privacy signal, such as Global Privacy Control, as an opt-out request, we will do so for that browser.
6. Email communications
If you opt in on one of our forms, or where the law otherwise permits, we may send you emails with guidance, updates, and information about our services. Every marketing email includes an unsubscribe link, and you can also opt out by contacting us using the details in Section 14. We will process your request promptly. Opting out of marketing email does not stop transactional or relationship messages, such as replies to a question you asked us or messages about an existing engagement.
7. Text messages (SMS)
When you download a resource from the Site, you can choose to receive text messages from Healthcare Revenue Group by checking the text message box on the form. The box is never checked for you, and you do not need to agree to text messages to download a resource or to buy anything from us.
What we collect. If you opt in, we collect your mobile number and a record of your consent, including the date and time, the page where you opted in, and the wording you agreed to.
How we use it. We use your mobile number only to send the credentialing or billing and revenue cycle updates and guidance you signed up for. You will receive up to 4 messages a month. Message and data rates may apply. Messages are sent using automated technology.
How we share it. We do not sell, rent, or share your mobile number or your text message consent with third parties or affiliates for their marketing or promotional purposes. We share this information only with the service providers that send text messages on our behalf, and only so they can deliver those messages. Text message opt-in data and consent are never shared with any other third party.
How to stop. Reply STOP to any message to stop receiving texts. We will send one message confirming you have been unsubscribed and will send no further texts unless you opt in again. Reply HELP for help, or contact us at info@hrg.us.com or 913-717-4000. Unsubscribing from texts does not unsubscribe you from email, and unsubscribing from email does not stop texts. You can manage each one separately.

8. How long we keep information
We keep personal information for as long as we need it for the purposes described in this policy, including to maintain a business relationship with you, unless a longer period is required or permitted by law. We keep records of consents and opt-outs, including text message and email opt-outs, for as long as needed to honor them and to show that we did. When information is no longer needed, we delete it or de-identify it.
9. How we protect information
We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, and disclosure. The Site uses HTTPS encryption for data sent between your browser and our servers. Access to personal information is limited to people and service providers who need it for the purposes described in this policy. No method of transmission over the internet or of electronic storage is completely secure, so we cannot guarantee absolute security. You share information with us at your own risk, and you are responsible for keeping your own devices and accounts secure. If we learn of a security incident that affects your personal information, we will notify you and the appropriate authorities as required by applicable law.
10. Your choices and rights
Wherever you live, you can ask us to:
- tell you what personal information we hold about you
- correct information that is inaccurate
- delete your information, subject to exceptions allowed by law, such as keeping a record of your opt-out
- stop sending you marketing email or text messages
- stop using or disclosing your information for targeted advertising, or for any sale or sharing of personal information as those terms are defined by state privacy laws.
Depending on where you live, you may have additional rights under state privacy laws, such as the right to obtain a copy of your information in a portable format, to opt out of targeted advertising or the sale or sharing of personal information, and to appeal a decision we make about your request. We will honor these rights where the law applies to us and to you. We will not discriminate against you for exercising any of these rights.
To make a request, contact us using the details in Section 14. We may need to verify your identity before acting on a request, and we will respond within 45 days, or sooner if applicable law requires. You may use an authorized agent to make a request where the law allows, and we may ask for proof that the agent is authorized. If we deny your request, you may appeal by replying to our response, and we will tell you the outcome of the appeal in writing.
11. Children
The Site and our communications are intended for business professionals and are not directed to children. We do not knowingly collect personal information from anyone under 16 years of age. If you believe a child has provided us with personal information, please contact us and we will delete it.
12. Links to other websites
The Site may link to websites, scheduling tools, and services operated by others. Their privacy practices are governed by their own policies, not this one, and we are not responsible for their content or practices. Our service providers, such as HubSpot and Google, also process some information under their own terms and privacy policies.
13. Where information is processed
We are based in the United States, and the Site is intended for users in the United States. Information we collect is processed and stored in the United States.

15. Changes to this policy
We may update this policy from time to time. When we do, we will post the updated policy on this page and change the "Last updated" date at the top. If we make material changes to how we use or share personal information, we will provide notice as required by law, and we will not use personal information in a materially different way from what we described when it was collected without any consent the law requires. Your continued use of the Site after an update is posted means you acknowledge the updated policy.
16. About this policy
This policy describes our practices. It does not create any contractual rights or obligations for you or for us, and it does not change any written agreement between Healthcare Revenue Group and a client. If this policy conflicts with a written client agreement or business associate agreement, that agreement controls for the information it covers.
